Hospitality Services Assistant


Purpose of the Position

To provide hospitality services to residents, guests, team members, and all customers in accordance with Friendship Haven’s philosophy on excellent customer service.


  • - Proactively welcome and greet visitors as they enter the Friendship Haven Welcome Center, guiding them to the appropriate neighborhood/team member.
  • - Answer telephone calls as necessary, seeking information to ensure the caller is transferred to the appropriate person.
  • - Be responsible for the various campus guest rooms including taking reservations, making reminder call to guest, ensuring the key is available, communicate with proper Campus Support staff regarding special requests, etc. Provide follow-up call to guest following check-out to determine guest satisfaction of stay.
  • - Schedule resident transportation requests and make confirmation call. Also, call resident with a reminder on the day of the scheduled transportation.
  • - Assist Blue Lemon as needed.
  • - On a daily basis, in order to answer potential questions from residents, guests, and employees, review various meeting room reservations, campus events, funerals, etc.
  • - Maintain Friendship Haven’s internal resident closed circuit television system with updates as requested.
  • - Assist Campus Services with assigning maintenance work orders. Make follow-up calls to residents to get feedback on work completed.
  • - Assist Safety Coordinator with fire/tornado drills that need to be scheduled during the assigned shift.
  • - Communicate and provide information to the night security guard upon leaving the shift.
  • - Assist administrative staff with clerical tasks, i.e., birthday cards, thank you letters, mailings, assembling orientation packets, etc. as requested.
  • - Sort and distribute incoming campus mail. Process outgoing mail. Order supplies for the postage machine as necessary.
  • - Complete billing reports (newspaper billing, etc.) as requested by the Business Office.
  • - Monitor the campus security camera system via monitors installed in the Welcome Center area and respond accordingly.
  • - Update resident/staff database in NAMES and NUMBERS.
  • - Other responsibilities as assigned.

  • - Ability to deliver excellent customer service and hospitality services.
  • - Attention to detail and critical thinking skills.
  • - Abide by Friendship Haven Standards of Personal Performance and Code of Ethics.
  • - Ability to work effectively with co-workers in a team environment.
  • - Knowledge of computer/technology/phone system.
  • - Support the mission, vision, and values of Friendship Haven.
  • - Proficiency in writing and communicating with team members and the general public.
  • - Accountability to complete tasks with minimal supervision.
  • - Ability to be tactful in resolving customer service concerns and situations.
  • - Ability to be flexible with scheduling and assignments.

Minimum Requirements

  • - Education: Level of education to communicate effectively.
  • - Experience: Knowledge of computer software (Word, basic Excel, PowerPoint, Outlook, etc.)

Physical Demands

  • - Sits, stands, bends, lifts, and moves during work hours.
  • - Should be capable of lifting up to 50 pounds as needed.

Mental Demands

  • - Subject to frequent interruptions.
  • - May be subject to hostile and emotionally upset residents, families, and visitors.

This is a part-time position approximately 10 - 20 hours per pay period.
Hours will be evenings and full days on rotating weekends.
Part-time position approximate hours will be 7:30 am - 12:00 pm Monday - Friday as needed on weekends and holidays and approximately 50 hours per pay period.
